What is data migration?

If you are moving to Zendesk and want to bring over existing customer data, whether at the organization, user, or ticket level, there are a variety of options. In many cases, we can also migrate help center content, custom fields, macros, etc.

You can always bulk import organization and user data via CSV, but tickets can be a bit more complex.

We have 3 options when it comes to data migration from another platform to Zendesk

Self Service, Assisted Self Service, and Full Migration

Self Service

You manage the migration using a 3rd party migration tool (we recommend Help-Desk-Migration) and we are only engaged when necessary

+ You can see the pricing directly on the 3rd party sites (will require a sample upload of ticket data)

Not the right fit if you don’t feel comfortable working with a 3rd party tool or don’t have time to engage in the process

Limited flexibility if advanced customization is needed

Assisted Self Service

We handle the migration using a third party tool and work with someone on your team to monitor and ensure completion

+ Minimal time required on your part; we’ll work directly with the vendor to test, verify, and initiate the migration

Because we’re still using a 3rd party tool, limited flexibility on customization still exists

Additional cost for the hours we spend

Full Migration

We migrate your data using our own API tools and custom development

+ Maximum flexibility on what can be imported and how

Typically a similar cost compared to Self Service to create the migration ourselves, but will likely take a longer amount of time due to the customization requred

Considerations for every migration

  • All tickets in Zendesk need an assignee to be solved
    • This could mean just ensuring we have the right agents created, or it may be that we assign past tickets to a different agent if that ticket’s agent doesn’t work at your company any longer
  • It is best to perform the migration prior to launching Zendesk for external communication
  • Delta migrations (the process of catching up to the current moment after a larger migration has already taken place) are tricky, and you can expect increased cost and time to completion
  • Zendesk ticket statuses may differ from prior ticketing system
  • Closed Ticket – IMPORTANT
    • Because closed tickets cannot be updated once in Zendesk, if “closed” status carries a different meaning in your prior ticketing system, it may be worth migrating tickets as solved or even some other status
